A rent agreement renewal is not last year's lease with a date scribbled in the margin. It is a new term: new stamp paper, a new rent if they raised it, a new end date a bank or a visa desk will match. In Maharashtra that paper is often a leave and licence. A society office, HR, a police verification, a new landlord will ask for a photocopy of the current term. Not of the expired one in the same plastic file. A camera-roll JPEG fails later. This term is in the picture. It is not in the file. Search the phone for leave and license, or the new end date, or renewal, and last year's deed comes back, or nothing does. A bank pack opens on Friday. You scroll Recents and attach the expired original because it looks the same.

A leave and license photocopy searchable as a PDF is a different object. The sheet is square. Optical character recognition writes the landlord, the licensee, the flat, the rent for this term, and the new dates into an invisible text layer. A JPEG of last year's page one cannot answer “when does this term end.” A text layer can.

This is a new term. Not last year's deed. Not a receipt.

Keep the original rent agreement as its own file. That paper is how you first occupied the flat: the first stamp paper, the first signatures, the first deposit. A renewal is the instrument that says you still live there now. An HR desk that asked for the current agreement will send 2024 back. A visa clerk who asked for the lease in force will not hunt for this year's dates inside last year's recitals. One term, one PDF.

A rent receipt is a month of rent paid after you already live there. It is not the renewal. Twelve carbons do not extend a term that ended in March. Do not staple June's slip to the new stamp paper and call the bundle the agreement.

In Maharashtra the everyday name is leave and licence, under the Maharashtra Rent Control Act, 1999. The rest of the country often says rent agreement or lease. The stationery changes. The job of the photocopy does not: current parties, current premises, current rent, current dates.

A one-page “renewal/extension” that refers to the original by date is still this term's paper. Some desks want both files — the original occupation and the extension — as two uploads. Do not bind them into one PDF unless they asked. Do not scan the expired original, rename it 2026, and hope nobody reads the end date.

A society NOC for leave-and-licence is the committee saying the member may let the flat. It is not the licence. An electricity bill is this month's meter. Neither is the current term.

A WhatsApp from the landlord saying “same terms, eleven more months” is not a deed. Until new stamp paper — or a signed extension — exists, you photocopied a chat, not a renewal.

What the photocopy has to keep

Before you fold the new stamp paper back into the file, open the PDF and check, without guessing:

  • Names of licensor/landlord and licensee/tenant as on this instrument, including an extra initial they added this year
  • Full address of the premises. Crop the schedule and you photocopied a letter, not a home
  • Monthly rent for this term, in numerals and in words if both are printed. Last year's figure in the picture is the wrong term
  • Security deposit if restated — or a line that the old deposit continues. A cropped deposit is a fight later
  • Commencement and expiry of this term, and lock-in or notice if printed. The end date is the number every desk will match
  • New stamp-paper serial, e-stamp certificate, or franking. A cropped header is a cropped duty
  • Both signatures, and the notary or witness block if this execution has one
  • Registration details if this term was registered — document number, year, SRO. An unregistered 11-month sheet is still this term; do not scan a registration receipt and label it the licence
  • Every page of this instrument, in order. Do not mix 2024's page 1 with 2026's signature page
  • Annexures that belong to this execution only — a revised fittings list, a rent-revision letter bound with it. Last year's society NOC stays in last year's file unless they reissued it

If the new rent is in glare, the end date is in a fold, or the serial is cut off, reshoot while the original is still on the table. A renewal you cannot read is a rumour of a term.

A photo and a PDF are not interchangeable here. PDF versus photo is the same fork: a file you can attach to a portal, print for self-attestation, and search two terms later — not a thumbnail that dies in a chat backup.

Scan the issued instrument, not the draft the broker mailed “for your records.” If they re-executed after a name correction or a rent revision, the new sheet is the paper.

How to scan rent agreement renewal to PDF on phone

Treat the phone as the xerox machine. One term, one PDF.

  1. Pull only this term. Last year's deed, the receipts, the society NOC, the electricity bill stay in their own piles. Mixing years is how an expired end date reaches a visa window.
  2. Flatten the new stamp paper. Colour paper still curls. A glass at the far edge is enough. A fold through this year's rent is a number you will argue about.
  3. Dark, matte surface. Tinted duty paper loses its edge on a white counter. If the reverse ghosts through, slide a black sheet underneath. Scanning thin paper without bleed-through is a dark backing, not a brighter lamp.
  4. Side light, not the flash. E-stamp QRs and wet stamps bloom. Tilt until glare leaves the new serial, the rent, and the end date.

  6. Every page of this execution, same sitting, same distance. One PDF. If the renewal is one page that incorporates the original, that one page is this file. The original stays the original.
  7. Export PDF, not JPEG. A photo is a picture of stamp paper. A PDF is the leave and license photocopy.
  8. Name it without the deposit or the new rent. Leave-licence-Andheri-2026-27.pdf is a document. Renewal-55k-deposit-2L.pdf parks money in every folder listing. Let search find the rent inside the file. Put the term year in the name so last year's PDF is not the one you attach.
  9. Read this term's end date, the rent, and both names out loud. Then search the phone for leave and license, or the society, or the new year. If last year's deed is all that returns, the text layer is missing on this file — or you scanned the wrong paper.
